RENTAL PROCEDURES

At Santa Barbara Wedding Arches, we strive to make your rental experience smooth and stress-free. Below, you’ll find a step-by-step guide to how our process works, from booking to pickup.


1. Inquiry & Booking

  • Browse our collection of wedding arches and select the one that fits your vision.
  • Contact us via email or our inquiry form to check availability for your event date.
  • We’ll confirm availability, provide a quote, and answer any questions you may have.
  • To secure your rental, 100% of the payment is required at the time of booking. 

2. Delivery & Setup

  • We deliver and set up your arch at your event location on the agreed-upon date and time.
  • Our team ensures proper placement and stability. Once set up, arches should not be moved or adjusted by anyone other than our team.
  • If your venue has specific access requirements, please coordinate with them in advance to avoid delays.

3. Event Day Responsibilities

  • Your arch will be ready for your ceremony and any planned photography after the ceremony.
  • Please ensure that nothing is attached to the arch in a way that could cause damage (e.g., no nails, screws, or adhesives).
  • If your event is outdoors, we recommend having a backup plan in case of inclement weather.

4. Pickup & Breakdown

  • Our standard pickup time is immediately following your ceremony, with flexibility for photos afterward. Our cutoff pickup time is no later than 9pm.
  • If you need a later pickup time, we offer late-night pickups for an additional fee (subject to availability and venue location).
  • If access to the venue is delayed, a $50 charge may apply. If we cannot retrieve the rental items at the scheduled time, we will charge an additional daily rental fee for each day the arch is not returned.

5. Cancellations & Rescheduling

  • Cancellations are allowed up to 30 days before your event, but 50% of the payment is nonrefundable.
  • If you cancel within 30 days of the event, the full rental fee will be charged.
  • In cases of emergencies, such as severe weather or unforeseen circumstances, we will do our best to accommodate a new date if possible.

6. Damages & Liability

  • The client is responsible for ensuring the arch is not moved or mishandled.
  • Clients are responsible for any damage or loss of rental items. If an item is damaged, the client will be charged the full cost of repair or replacement, as determined by the extent of the damage and current market rates.
  • Santa Barbara Wedding Arches is not liable for any injuries or damages caused by improper use of the rental items.

7. Weather Contingencies

  • Our arches are designed for outdoor use and can withstand light rain, but in cases of severe weather (high winds, heavy rain, etc.), the client is responsible for ensuring the safety of the arch by contacting the rental company.
  • If unsafe weather conditions are expected, we reserve the right to delay or cancel delivery to protect our team and rental items.
  • No refunds will be provided for weather-related cancellations.

8. Photography & Media

  • We love capturing our arches in action! We may take photos of our rental items at your event for promotional purposes. No personal or identifying details will be shared without your permission.
